Exhibition Information

General Information

The 18th Standing Conference of Eastern, Central and Southern African Library and Information Associations (SCECSAL) will be held from 15-18 July in Lusaka, Zambia. This conference has in the recent past attracted more than 500 librarians and other information professionals from most of the 23 member countries in the region, including visitors from USA, Australia, Britain and Europe. This event has proved to be a very attractive venue for companies and other organizations specializing in products and services associated with the library and related professions, to market their products.

Invitation

Organizations wishing to exhibit their products at the forthcoming SCECSAL XVIII conference are cordially invited. The conference will take place at the Mulungushi International Conference Centre (MICC) in Lusaka, Zambia.

Available space & floor plan

Exhibition space has been reserved in the Luangwa and Kariba rooms next to the main conference hall at the conference venue.

Who should exhibit?

Exhibitions are open to all companies, governmental and other organizations with products and services related to library and information services such as; Bookselling and Publishing, Journal Publishing, marketing and Distribution, Library automation, Library Database Management Software, E-publishing, Library Furniture and other Storage products, Library Security Systems, Library Training Institutions, etc.

Exhibition Time-table

  • Monday 14th July - Setting up of stands
  • Tuesday 15th July - Official opening following opening of Conference
  • Wednesday 16th July - Continuation of exhibitions
  • Thursday 17th July - Final Day of exhibitions and dismantling of exhibits at the end of the day.

Hotel Accommodation

Prospective exhibitors should make their own hotel booking arrangements. A list of hotels and lodges nearest to the conference venue has been provided on the conference website. However, more hotels within the vicinity of the Mulungushi International Conference Centre currently under construction are likely to be opened by the time of the conference. Details for these may be provided later.

Exhibition Space Details

  • Available Space - 9m.sq per exhibitor
  • Available utilities - One table & two chairs and an electricity socket outlet.
  • Cost of space - US$450 for three days
  • Exhibitors’ responsibilities - Laptops, LCDs, panels, stands, screens. (Exhibitors may be assisted to identify local rental services for some of these facilities)

Note:

  1. The US$450.00 fee is exclusively for the exhibition and does not include tea and lunch services. However, there is a restaurant opposite the exhibition rooms where exhibitors can buy their tea/coffee and meals.
  2. All exhibitors can attend the conference proceedings using the Exhibitors' Badge but they will not be eligible for the conference services/facilities such as copies of conference papers, tea/coffee breaks, lunch and social events, i.e cocktail receptions, cultural evening, etc. Full participation in the conference and access to the facilities and services requires a separate registration and payment of the applicable conference fee.   3. Copies of the conference papers will be available for sale at US$15.00 each. Please, reserve your copy in advance.
  4. The fee for participating in social events will be US$15.00 for each function.

Applications must be accompanied by 100% payment of the total space rental. The exhibition fees must be paid by 30th May 2008. All payments should be made by SWIFT transfer via the following US Correspondent Bank:

It must be noted that

  • Wireless internet access will be provided in the exhibition rooms. Internet facilities are also available at internet cafes located at Arcades Shopping Centre which is about 400 meters away from the Conference Centre.
  • Failure to comply with these arrangements forfeits all right to space, which may be re-assigned to other exhibitors, with no obligation to the SCECSAL Secretariat.

Booking and Exhibitors Application Forms

All prospective exhibitors are advised to book early for their exhibitions. Booking and payment details should be received not later than May 30th, 2008. Such application must be addressed to the SCECSAL Secretariat. Exhibitors are advised to book early to avoid disappointment. The exhibition space is very limited and will only accommodate a maximum of 24 local and international exhibitors.

Cancellation

All cancellations must be made in writing to the SCECSAL Secretariat. Cancellations will only be allowed if made before 15th June, and will be subject to forfeiture of 75% of registration fees. Cancellations done after 15th June will be subject to no refunds as payments for the booking of the halls as well as other logistics will already have been made.

Disclaimer

For reasons beyond their control the SCECSAL Secretariat and/or its agents reserve the right to alter or cancel the conference or any of the arrangements, timetables, plans or other items directly or indirectly related to the 18th SCECSAL conference. The participants shall not be entitled to any compensation for damages resulting from such alteration or cancellation.

Furthermore, with the exception of any willful damage or gross negligence committed by SCECSAL Secretariat and/or its agents, neither the SCECSAL Secretariat and /or its agents shall at any time be liable for any direct or indirect damage suffered by the exhibitors, including consequential and immaterial damage, caused by failure to comply with the provision of this document.
